Q:

What goes in the ISA and GS segments and how do I create the X12 envelope information for eMedNY X12 transactions?

A:

The NYSDOH eMedNY system has certain requirements for the ISA and GS segments, in addition to X12 and HIPAA compliance requirements. Below please find these requirements, as well as explanations to some of the elements that commonly create problems. The example below is for an 837 Institutional.


Please refer also to the table below for a list of values depending on the transaction being sent to the NYSDOH eMedNY system.

Please note:

The ISA segment is a 105 byte fixed length record, not including the segment delimiter. ISA06 and ISA08 must be 15 characters in length, padded with spaces to the right of the values listed in the table below.

ISA and GS Header Information

The table below specifies the values for the ISA08 and GS03 elements for each eMedNY inbound transaction. Find the transaction in the left column and read across to determine the values of these data elements.

NYSDOH recommends using the following Element Delimiter, Segment Terminator, and Component Element (Sub-element) Separator.

  • The data element separator is byte number 4 of the ISA
    ( “*”in the above example).
  • The component element separator is byte number 105 of the ISA
    ( “:” in the above example).
  • The segment terminator is the byte that immediately follows the component element separator in the ISA
    ( “ ~ ”in the above example).
