Q: What is the BBS or Gateway?
A:

The BBS (Bulletin Board System, also known as the Gateway or the Electronic Gateway) allows users to transfer files from their computer to another computer (upload) or from another computer to their computer (download). Each batch file transmission sent to the eMedNY contractor should be completed within two hours as an F-file must be returned within two hours of the start of the transmission. Any transmission exceeding two hours will be disconnected. BBS is strictly a dial-up connection.

 
Q: How to I access the BBS/Gateway?
A:

You will need to complete a security packet B. Contact Provider Services at 800-343-9000 and request a copy of the packet be faxed to you or print off a copy of the security packet B available on emedny.org. (Click on Provider Enrollment Forms under the Featured Links section.) Please allow 2 to 3 weeks for processing. eMedNY Provider Services will contact you with your User ID and password once the forms have been processed. Note: Original signatures on the forms are required so you may not fax the documents but must MAIL the packet to the address indicated below.

Q:
What is the difference between BBS, Gateway and Electronic Gateway?
A:

These all refer to the same method of transmission.

 
Q: Is the Electronic Gateway/BBS the same thing as eXchange?
A:

No. The BBS/Gateway is a dialup method of transmission and eXchange is web-based.

 
Q: What transactions will the BBS/Gateway accept?
A:

The BBS/Gateway will accept claims, eligibility requests, prior approval requests and claim status requests. You may receive associated responses. However, remittance transactions are only available electronically through FTP and eXchange transmission methods.

 
Q:
How long do the downloaded files stay in the backup directory of my BBS account?
A:

Twenty-eight days. These files can be re-queued if accidentally deleted in this time frame at provider request.

Q: What are my options for methods of transmission?
A:

eXchange, FTP, Gateway/BBS, ePACES

 
Q:
What if I do not want to use any of these standard methods - eXchange, Gateway/BBS or FTP?
A:
If none of these methods suit your needs, you will find a list of vendors who have developed specialized systems for accessing New York State Medicaid at www.emedny.org, select the NYHIPAADESK option then click on the Vendor Information option.
 
Q: What 837 format do I bill with?
A:

Refer to category of service crosswalk available on emedny.org, NYHIPAADESK, Crosswalks, select Transaction Category of Service Crosswalk.

 
Q: Do I need to complete testing for all access methods?
A:

No

Where do I find the specifications/companion guides to create my own software?
A:

Go to www.emedny.org, select NYHIPAADESK then the eMedNY Companion Guides and Sample Files link.

 
Q: Do you have a list of vendors to help me create the software needed to send my electronic transactions?
A:

Yes. You will find a list of vendors who have developed specialized systems for accessing New York State Medicaid at www.emedny.org, select the NYHIPAADESK option then click on the Vendor Information option.

 
Q: What is a security packet?
A:

A Security Packet is a set of forms that allow the provider to request secure access to the eMedNY system and designate their access method. Submitters agree to abide by the guidelines set forth in the Security Packet.

 
Q: How long does it take to process a security packet?
A:

Security packets are processed within two to three weeks.

 
Q:
How do I determine the status of the security packet that I submitted?
A:

Contact Provider Enrollment for the status of your security packet. Call 800-343-9000, select option 5.
